      <title>HR Team - Remote Summer Friday's</title>

      <description>&lt;p&gt;Beginning Friday, May 27&lt;sup&gt;th&lt;/sup&gt; [Memorial Day weekend] through Friday, September 2&lt;sup&gt;nd &lt;/sup&gt;[Labor Day weekend], the HR team will be working a hybrid remote schedule Monday-Thursday, with no on-site coverage at Nobska on Friday&amp;rsquo;s.       <title>2020 Retirement Trust Town Hall</title>

      <description>&lt;p&gt;On Thursday, April 9&lt;sup&gt;th&lt;/sup&gt;, Bob Ducommun, chair of the Retirement Trust trustees, presented the annual Retirement Trust Town Hall with support from the defined benefit plan&amp;rsquo;s actuaries, Willis Towers Watson, the Plan&amp;rsquo;s investment management team at Cambridge Associates, and the WHOI administrative team. The presentation provided detailed information regarding the state of the defined benefit plan, specifically the Plan&amp;rsquo;s certified funded status and the trustees decision to retain the current restrictions on lump sum benefit payments for the current plan year.&amp;nbsp; This decision reflects the trustees&amp;rsquo; obligation to care for the interests of all Plan participants, ensuring the Trust&amp;rsquo;s future financial health and vitality for years to come.       <title>2019 Benefits Fair and Open Enrollment for Active Employees -  SAVE THE DATES!</title>

      <description>&lt;p&gt;WHOI&amp;rsquo;s annual Benefits Fair will be held on &lt;strong&gt;Thursday, October 25&lt;/strong&gt;, from&lt;strong&gt; 10:00 a.m.&lt;/strong&gt; &lt;strong&gt;&amp;ndash; 2:00 p.m.&lt;/strong&gt; in &lt;strong&gt;Clark 507&lt;/strong&gt;.&amp;nbsp; Vendors will be available for you to ask questions and evaluate options, while a Flu Shot Clinic will be onsite in Clark 509. This year&amp;rsquo;s Fair will also offer great raffles, a healthy snack sample table, Dermascan skin evaluations, a hand grip strength test, and seated massages!&lt;/p&gt;&#xD;
&lt;p&gt;&lt;em&gt;Please note that flu shots will be administered by Rite Aid on a first come, first serve basis. With this in mind, we encourage you to complete the Screening Questionnaire and Consent Form beforehand. You may obtain this form by downloading the form from the&amp;nbsp; &lt;a href="http://www.whoi.edu/website/HR/open-enrollment"&gt;2019 Open Enrollment&lt;/a&gt; webpage or by stopping by Human Resources in Nobska House.&lt;/em&gt;&lt;/p&gt;&#xD;

      <description>I am happy to report that the Human Resources Department is now fully staffed. I&amp;rsquo;m eager for the WHOI Community to meet our staff and learn about the services the HR team provides to the community.&amp;nbsp;&#xD;
&lt;p&gt;In an effort to increase staff awareness and accessibility, we are scheduling meetings with all departments beginning with the science departments.&lt;/p&gt;&#xD;
&lt;p&gt;In addition, we are piloting an &lt;strong&gt;HR Pop-Up office&lt;/strong&gt; in the Clark Lobby to determine if employees at Quissett campus find this helpful. The Pop-Up office will be staffed on Tuesdays and Thursdays from 11 a.m. &amp;ndash; 1 p.m., for three weeks beginning April 11.       <title>Presentation Regarding the WHOI Defined Benefit Plan Trust</title>

      <description>&lt;p&gt;On September 15&lt;sup&gt;th&lt;/sup&gt;, WHOI Trustee Bob Ducommun, the chair of the Defined Benefit Retirement Trust Committee, with the assistance of Larry Chang, of Cambridge Associates as well as Mark Rich and Joanne Mooney, of Willis Towers Watson, made a presentation about the WHOI DB Plan Trust, including an update on the funding status. Their presentation included several topics including: history of the Retirement Trust, the investment policy, how the assets are being managed by Cambridge Associates, the liability associated with managing the Plan, and how government oversight including potentially changing IRS rules may affect the overall management of the Trust.       <title>Meeting By Defined Contribution Retirement Plan Commitee (DCRP)</title>

      <description>On August 30&lt;sup&gt;th&lt;/sup&gt;, members of the Defined Contribution Retirement Plan Committee (DCRP), who are responsible for administrative and fiduciary oversight of the Plan,&amp;nbsp;held an open forum meeting with the WHOI Community to provide an update on the Plan, seek feedback on the past five years with Transamerica (existing Plan record-keeper), and to inform the community about a Request for Proposal (RFP) currently in process. It is best practice to conduct an RFP at least every five (5) years to ensure that the plan fees for recordkeeping, employer and participant support are reasonable for the services provided. We were also interested in understanding whether participants are satisfied with the website and call-center support and whether we as the employer are satisfied with the back-end support for administration. Jeffrey Fernandez, Vice President of Operations and CFO; Kathi Benjamin, Director of Human Resources and EEO officer; Nicole Wright, Assistant Director of Benefits; and WHOI Fiduciary Advisor, Stephen Popper of Sageview Advisors; joined us along with&amp;nbsp; the members-at-large&amp;nbsp;Steven Jayne, Senior Scientist; Nanci Pacheco, Director of Business Systems; and Malcolm Scully, Associate Scientist.       <title>New Web-Based WHOI Employee Self-Serve Defined Benefit Calculator</title>

      <description>&lt;p&gt;On December 28, 2015 the Human Resources Department together with Towers Watson will roll out a web-based benefit modeling calculator for current employees who are Defined Benefit (DB) Plan participants.&amp;nbsp; This tool is called &amp;ldquo;Employee Self-Serve&amp;rdquo; (ESS); and it allows participating employees to formulate multiple retirement distribution scenarios/estimates at a time, save estimate history and revisit different scenarios of estimated DB plan benefits.&amp;nbsp; The system is not accessible to current employees who have previously taken a distribution from the Plan, for past employees and for those hired on or after 1/1/2009 when the DB plan was closed to new participants.&amp;nbsp; Once the site is available on December 28, 2015, current employees participating in the DB plan will receive an email with ESS access instructions.&lt;/p&gt;</description>

      <title>MASSACHUSETTS EARNED SICK TIME LAW</title>

      <description>Effective July 1, 2015, &lt;span style="text-decoration: underline;"&gt;all &lt;/span&gt;employees who work in Massachusetts now have the right to take job protected sick time under the new Massachusetts Earned Sick time Law.&amp;nbsp; For WHOI, this only impacts casual employees as employees who work half-time and above already receive Occasional Illness and Family Illness benefits. Casual employees who previously were ineligible for sick time will now be eligible for 40 hours of paid sick time per calendar year.&amp;nbsp; WHOI has elected to provide casual employees in 2015 with 30 hours for the second half of the year and 40 hours beginning in 2016.&amp;nbsp; Effective immediately, casual employees are eligible to receive paid sick time.&amp;nbsp; Sick time can only be charged for time when employees are scheduled to work. Time reported must be in increments of no less than 15 minutes. For casual employees, sick leave can be used to care for physical or mental illness, injury or medical condition affecting employee, employee&amp;rsquo;s child, spouse, parent or parent of a spouse; to attend routine medical appointments; and to address the effects of domestic violence of employee or employee&amp;rsquo;s dependent child. For reporting sick time for casual workers, use the code, Casual Sick, in Unanet. Due to this law, for employees who work half-time and above, family illness will now be revised to allow for care of a spouse&amp;rsquo;s parent. There are no changes to the pension benefit you have earned as a result of this change and there is nothing you need to do.
