Job Summary Reporting
to the Procurement Manager, and as a member of the Stockroom Team,
is responsible for contributing to and continually improving an
efficient and cost-effective process designed to assist Institution
staff in their stockroom needs, in compliance with Institution policies
and government regulations. As a contributing member of the team,
is committed to the common purpose, performance goals and approach
for which team members hold themselves mutually accountable. Performance
evaluation is based on a combination of team success and individual
accomplishment.
Major Duties
- Manages
the daily operations of the WHOI stockrooms, which provide a
wide variety of products utilized by Institution staff. Supervises
stockroom employees.
- Recommends
policies for stockroom operations.
- Oversees
and evaluates processes, and implements procedures to improve
efficiency.
- Supervise
ordering of products for inventory. Places purchase orders through
direct vendor contact. Responsible for expediting orders and
making corrections as required. With Assistant Stockroom Coordinator,
determines stocking levels, trends and obsolete items.
- Serves
as a knowledgeable source regarding the operation of the software
utilized by the stockroom. Provides training to staff, troubleshoots
operational problems, makes recommendations for improvements,
utilizes test account for ideas, and tests new upgrades prior
to implementation.
- With
the Procurement Manager, considers customer feedback regarding
new products. Integrates new products and new product areas
into inventory.
- Has oversight
for the physical inventory of products and adjustments.
- Daily
activities apply an understanding of business and accounting
practices, as does the participation in the year-end reconciliation
of Stores Inventory to the general ledger.
- Develops
and maintains budget. Has oversight of cash management associated
with stockroom activity.
- Responsible
for preparing monthly, annual, and ad hoc reports regarding
activity, inventory, and finances.
- Ensures
adequate coverage of the Stockroom.
- Works
with material handling equipment, light vehicles, hand tools,
scales, banding, and other general office equipment; may operate
forklift (certification required).
- May perform
other related duties as the supervisor may, from time to time,
deem necessary.
Desired Education/Experience for Hiring College
degree with demonstrated skills and knowledge in procurement processes
and stockroom operations. Should have familiarity with scientific
terminology and inventory maintenance. Must possess strong negotiation
skills and demonstrated skills with Microsoft Office products and
relational databases. Must be able to lift and move heavy items
(up to a weight of 70 lbs). Prior supervisory experience is desirable.
Strong interpersonal, decision making, communication and organizational
skills essential, along with demonstrated initiative and willingness
to learn and share the learning.
