Job Summary Reporting
to the Property Administrator, is responsible for maintaining government
records, including closeouts and annual reports. Coordinates the
disposal and acquisition of excess/surplus government property,
as required by and in support of the Institution activities.
Major Duties
- Coordinates
and closes out Grants and Contracts according to regulations.
Collects data relative to the grant/contract being closed out.
Obtains and ongoing replacement project number for equipment
purchased under the grant/contract being closed. Makes adjustments
to the asset record.
- Coordinates
the turn-in procedures of all government-owned equipment with
the required government agencies.
- Tracks
and is responsible for all government annual reports to ONR,
NSF, NASA, etc.
- Assists
in preparation of all Property Office audits.
- Contributes
to establishing operating and capital budgets in conjunction
with the supervisor.
- Coordinates
equipment to be donated to local non-profit organizations ensuring
that documentation is on file once the organization takes possession
of equipment.
- Keeps
non-profit organizations informed as to equipment availability
for donation.
- Coordinates/arranges
collection of equipment.
- Assumes
responsibilities of Property Administrator in his/her absence.
- Responsible
for general office administrative needs and recommends appropriate
changes in systems and procedures.
- Maintains
liaison with peers at NSF, ONR, NASA, and other appropriate
government agencies.
- In consultation
with supervisor, may participate in selection of subordinate
staff and plan, organize and evaluate their work assignment
and priorities.
- Participates
in government site audits, functioning as a knowledge source
for WHOI procedural matters and record keeping.
Desired Education/Experience for Hiring High
school graduate with 5-6 years related experience including 2 years
related experience working with government agencies. PC competency
required. Willing and able to train for certification as a Property
Specialist.
