Telecommunications Operator/Dispatcher/Receptionist

Job Summary
Reporting to the Telecommunications Coordinator, acts as Telecommunications Operator/Dispatcher and Institution Receptionist. Works closely with Telecommunications Coordinator on a daily basis to maintain department and provide staff assistance as needed.

Major Duties
  • Operates switchboard on a regular basis. Acts as receptionist, directs visitors, keeps logs and issues temporary parking permits.
  • Provides training, scheduling and instructions for other Telecommunications Operator/Dispatchers, and Institution Receptionist.
  • Provides paging for services and maintenance personnel.
  • Monitors fire, intrusion, low or high temperature, power failures, and VHF radio. Locates and dispatches appropriate personnel.
  • Operates 911-telephone and dispatches WHOI first responders team, including notifying local Police, Fire and Rescue.
  • Maintains and monitors records and files, such as purchase records, property lists, personnel files, and other relevant documents. Sorts mail and distributes faxes, some of which may be confidential.
  • Maintains WHOI telephone book database and provides an on-line telephone and classified directory for Mailroom Security Guards and Switchboard.
  • Configures and implements programming for new telephone/voice mail services and system-wide features such as telephone billing codes, area codes and exchanges.
  • Instructs and trains users on telephone and voice mail features.
  • Monitors telephone call accounting records for project allocations.
  • With some supervision, performs telephone cross wiring.
  • Writes telephone work orders for the telecommunications technicians or vendors.
  • Assists with maintaining telephone wiring records and databases.
  • Performs such other duties as the supervisor may, from time to time, deem necessary.


Desired Education/Experience for Hiring
High School diploma or equivalent plus 3 to 4 years of office-related experience, with computer knowledge of database, word processing, spreadsheet, communications software, and with PBX/PABX systems or other computerized telephone systems. Ability to simultaneously handle a variety of tasks at different levels of complexity required.
