Job Summary Reporting to the
Executive Vice President is responsible for analysis and management of
finances associated with the activities of the Office of the Executive
Vice President.
Major Duties
Bridge Support:
- Works
with Departmental Administrators to determine the future needs for
Bridge Support and maintains a budget to cover the needs.
- Provides the Directorate with data on the use of Bridge Support during the year.
- Approves requests for Bridge Support and insures adherence to the policy that governs eligibility.
- May
rewrite the policy or provide other documents and training to insure
that Bridge Support is used consistently across the Institution within
government regulations.
Cost Sharing and Other Support for Research from Institution Funds:
- Maintains an accurate list of requested needs and approved cost sharing.
- Manages
the various accounts (endowment income, Director's discretionary
accounts, etc.) that provide the funds to cover the cost sharing and
other needs.
- Matches the needs with available funds and makes the awards as appropriate.
- Works
with the Directorate and Development Office to make everyone aware of
the future needs and balance of the funds available.
- Manages the funds and sets up accounts for Assistant Scientist Endowed Support.
- Monitors the Senior Scientist Chairs and Senior Technical Awards processes.
- Working with the Development Office is responsible for distribution of the funding for the Ocean Institutes.
- Coordinates
the review and award process for Institution internal proposals: the
Interdisciplinary and Independent Study awards, the Green Innovative
Technology awards, and the Mentorship awards. Maintains records and
statistics regarding awards and authorizes no-cost extensions.
Overhead Budgets:
- Is
responsible for budgeting, making awards, and monitoring adherence to
policy and government regulations for a variety of overhead functions
including start-up for new scientists, Emeritus support, task budgets,
ad hoc promotion committee expenses, step-down for Department Chairs,
and the Distinguished Lecturer Series.
Other:
- Maintains the website for the Office of the Executive Vice President, Grants and Contract Services, and others as appropriate.
- Performs other duties as the supervisor may, from time to time, deem necessary.
Job Specifications (Knowledge, skills and abilities normally required for competent performance in the job) Bachelor's degree
and 3-5 years of experience in a not-for-profit environment in an
administrative capacity with exposure to senior management. Knowledge
of budget preparation, grants management, and proposal preparation is
essential. Must have advanced mathematical, analytical, and statistical
aptitudes. Mastery of Microsoft Excel, Word, PowerPoint, and Adobe
Acrobat. Knowledge of or ability to learn Dreamweaver or other web page
software. Must have strong written and verbal communication skills;
strong organizational skills.
