Job Summary

Reporting to the Assistant Controller, responsible for all activities in the accounts receivable department.  Responsible for account collections and interacting with external customers and WHOI departments. Manages and makes cash management, process, and system recommendations to Assistant Controller



Major Duties
  • Manages and monitors aging of accounts receivable.  Researches, investigates and resolves account issues to facilitate collection of outstanding receivables. Makes aging recommendations to Assistance Controller
  • Generates and oversees monthly contract billing of all Government and non-government authorities and granting agencies; as well as ensuring the validity of charges by authorizing invoices 
  • Maintains unbilled Government and non government accounts and reconciles to general ledger; 
  • Serves as primary liaison between contracting and granting agencies and WHOI departments regarding accounts receivable matters 
  • Maintains government electronic drawdown of funds for ONR, NSF, NOAA, NASA, and NIH.  Responsible for implementing new software or upgrades to existing systems from the Government relating to drawdowns 
  • Responsible for day-to-day communication with customers, supplying additional information and /or answering questions.  Includes interacting with large projects award liaisons and departments to ensure accurate information is provided 
  • Interacts with departments concerning  budget overruns, final vouchers and costs incurred after completion date of project 
  • Generates and reconciles quarterly and year end reports for General Accounting 
  • Manages and maintains accurate records, reports and filing systems, as well as audit methods  of AR function to improve efficiency 
  • Provides training for staff and administrators in accounting and billing procedures including allowable practices to meet Government regulations 
  • Performs all other duties as the supervisor may from time to time deem necessary


Desired Education/Experience for Hiring

Bachelors degree in related field with 5-7 years of directly related experience preferred.  Must possess strong management, interpersonal and communication skills to effectively interact with both internal and external contacts.  Must be familiar with standard accounting principles and concepts.  Strong organizational skills and attention to detail is critical.  Works with minimal direction and relies on experience and judgment to accomplish goals.
