Job Summary Reporting
to the Payroll Manager, assures the coordination of activities of
the Payroll Office by preparing and processing the Institution's
employee payroll. Responsible for all payroll functions in the absence
of the supervisor.
Major Duties
- Payroll
Preparation - Verifies and calculates time cards for accuracy
and system input. Prepares and inputs time cards, employee bank
deposits, and employee deductions including federal and state
taxes, computer loans, education loans, etc. Maintains payments
for Educational appointments.
- Processing
Payroll and Transmissions - Reviews audit warnings before processing
(missing time cards, negative balances, deductions exceeding
net pay, etc.). Produces payroll registers, checks, EFT stubs,
and miscellaneous reports. Generates transmissions for EFT transfer
and 403(b) withholdings. Initiates tax deposits for federal,
Social Security, Medicare, and state tax withholding. Balances
and controls earnings and deduction totals.
- Payroll
Distribution - Calculates and generates posting to General Ledger
for projects, cost centers, accounts receivable and payroll
register transactions.
- Time Card
Corrections, History and Tax Form Reversals - Serves as liaison
with Department Administrators coordinating processing of time
card corrections. Performs cross-functional activities with
General Accounting including reconciling payroll and accounts
receivable accounts. Prepares and inputs manual journal entries
for General Ledger posting.
- Shop Entry
and Distribution - Calculates and enter charges. Generates posting
to General Ledger for Shop Service and Technical Assistance.
- Departmental
Functions - Advises employees on matters related to payroll
policies and procedures, including clarification on withholding
and earnings calculations and other deductions.
- Miscellaneous
- Processes checks, stubs, and 403(b) information. Monitors
child support payments. Calculates military and jury duty pay.
Conducts routine time card audits. Prepares materials for payroll
auditors.
- Performs
other related duties as the supervisor may deem necessary.
Desired Education/Experience for Hiring Associates
degree with two to three years payroll experience or equivalent
work experience. Demonstrated interpersonal organizational skills
along with a proven ability to work independently and under pressure.
Computer literacy required including spreadsheet, word processing,
and web-based applications.
